A booking system built around your rules
We build custom booking systems for appointments, tables, rooms, rentals and classes - for businesses whose bookings depend on rules that ready-made tools cannot express.
Overview
A booking system decides who can book what, when and on which terms. For a hairdresser with one chair, that is a calendar. For a clinic where a treatment needs a specific doctor, a room and a device at the same time, a rental business with pick-up and return slots, or a training centre with group sizes and waiting lists, it is a set of rules. We build the system around those rules: availability, resources, prices, deposits, cancellations, reminders and the screen your staff use every morning.
Before you build, try the ready-made tools. If your bookings fit a standard flow and the monthly fee is acceptable, a subscription is cheaper and faster, and we will say so. A custom system pays off when you keep working around the tool by phone, when per-booking commissions add up to more than a build would cost, or when you want the customer relationship and the data on your own domain rather than on someone else's platform.
Signs you need it
- Half of your bookings still arrive by phone, because the online tool cannot handle your real cases.
- A booking needs several things at once - a person, a room and a piece of equipment - and double bookings happen.
- No-shows cost you money, but your current tool cannot take a deposit or apply your cancellation terms.
- You pay commission or per-seat fees that grow faster than the business.
- Staff keep a second calendar on paper or in a spreadsheet, because the online one is never quite right.
What a custom booking system includes
06- 01
Booking flow on your site
Customers pick a service, see real availability and book in a few steps on your own domain, on mobile first.
- 02
Resource and staff rules
Availability that accounts for people, rooms, tables, vehicles or equipment, with skills, buffers, opening hours and holidays.
- 03
Deposits and cancellations
Card deposits or full prepayment, with cancellation and no-show terms applied automatically instead of argued on the phone.
- 04
Reminders and changes
Confirmation, reminder and change messages by e-mail or SMS, with a link that lets the customer move or cancel within your rules.
- 05
Staff calendar and back office
A daily view for reception and staff, manual bookings for phone customers, blocking time and a history of every change.
- 06
Reports on capacity
Occupancy, no-shows, busiest hours and revenue per service, from the same data the bookings run on.
How we work
-
Write down the rules
We collect your booking rules and the exceptions your staff handle by hand today. You get a written scope, a fixed price, and an honest answer if a ready-made tool would do.
-
Test the flow
Customers and staff try the booking flow on real cases before launch, including the awkward ones: group bookings, changes, late cancellations.
-
Switch without losing bookings
We import future bookings and customers, run the new system alongside the old one for a short period, then switch over on a quiet day.
-
Your development team
After launch we stay on as your development team on a monthly basis: new services, seasons, price rules and locations are added as the business changes.
No project price list. A fixed price before we start.
Every project is different, so the price depends on what you need and how much of it. The first call is free of charge, and you always get a fixed price in writing before any work starts - no surprises.
- 01The first call is free and commits you to nothing
- 02You get a fixed price in writing before work starts
- 03You own the code and data once the work is paid for
- 04Hourly work and extra developers: €40-60 per hour
- 05After launch: software maintenance and development, monthly

Questions
-
01 Should we build our own booking system or use a ready-made one?
Start with a ready-made tool if your bookings follow a simple flow and you are still testing demand. Build your own when the rules are complex, when commissions or per-user fees exceed the cost of a build, or when you want full control of the customer data. Many businesses start with a subscription and move once they hit its limits.
-
02 Can customers pay a deposit when they book?
Yes. The system can take a card deposit or full prepayment through a payment provider, and apply your cancellation and no-show terms automatically. Refunds and partial refunds follow the same rules, so staff do not have to decide case by case.
-
03 Will it work with the tools we already use?
In most cases, yes. The booking system can work alongside your existing calendar, invoicing or point-of-sale tools, so staff do not have to type the same booking twice. We agree in the scope exactly which tools it needs to work with.
-
04 How much does a custom booking system cost?
The price depends on the scope: the number of services and resources, how complex the availability rules are, whether you take payments, and how many locations you run. We do not publish a price list. The first call is free, and the price is agreed in writing before work starts.
-
05 Can we move our existing bookings and customers?
Yes. Most booking tools let you export customers and future bookings, and we import them into the new system before switching over. Bookings made in the old tool during the short overlap are carried across, so no customer turns up to a slot that no longer exists.
Have your bookings outgrown the calendar?
Tell us how bookings work for you today, including the exceptions. The first call is free, and the price is agreed in writing before work starts.
Completely free. No commitments.
